Engineering Alumni Association Funding Requests

Engineering Student Organizations Guidelines for Funding Requests

The Engineering Alumni Association (EAA) offers engineering student organizations the opportunity to request funding for events, projects or equipment that promote the study, teaching, and practice of engineering; enhance educational and/or professional opportunities for engineering students; or promote a strengthened relationship among the student organizations, the Engineering Alumni Association and the Cullen College of Engineering.

PROCEDURES

  1. Ask to be placed on the EAA agenda. Contact your organization’s constituency representative on the EAA Board of Directors by 5pm Friday preceding the EAA Board Meeting to ask to be placed on the agenda. Board Meetings are held the second Thursday of each month. Students are encouraged to place the request before the EAA board at least six (6) weeks ahead of the event to ensure timely disbursement of funds.
  2. Give a brief (5 minute) presentation on the funding request. One or more students from the organization must give the request in person.
  3. Include a written summary and budget. Your handouts should include 2 pages total: (1) a one-page summary of the project or event including associated student activities and the number of students participating and (2) a written budget outlining costs associated with the event. The funding request should represent no more than 50% of the total costs associated with the event, up to a maximum of $500.
  4. Present a 5-minute wrap-up presentation. After the event, the student organization should again ask to be placed on a meeting agenda to give a very brief summary of the group’s participation in the event.
  5. Support which encourages UH representation in technical paper contests or other competitions at regional or national conferences is given a priority in funding.

FUNDING LIMITATIONS

  1. Each fiscal year (September through August), a student organization may receive a maximum of $500 funding from the Engineering Alumni Association.
  2. The $500 can be allocated to one event or spread over several events or projects as long as the total does not exceed the maximum amount.
  3. Amounts exceeding $500 may be considered, but any such appropriations will be categorized as one-time grants.

The EAA constituency representative for the student organization will inform the student organization of the decision of the board regarding the request. Checks to a student group will be distributed through the Engineering Dean’s Office directly to an officer of the student organization.
